Onboarding and Creation Assistance
Touch Stay offers all Avantio customers a free setup and onboarding service. This service includes:
a) Loading all property names, addresses, and locations, automatically imported from Avantio.
b) Uploading a cover photo for each property (photos are not yet imported from Avantio).
c) Template setup (categories, subcategories, and themes).
d) Application of brand colors.
e) Uploading the logo on the cover.
f) App icon setup on the home screen.
g) Individual online training (customized web training).
The onboarding service is usually completed in about one week.
Avantio customers will be managed by the Touch Stay Account Manager, located in Valencia, who speaks English and Spanish. This person will be your ongoing point of contact once you become a Touch Stay customer.
If you would like to see a demonstration of the platform before making a decision, Touch Stay offers a 30-minute personalized demo for you and your team.
To request it, contact Diana Fuentes at: [email protected]
Synchronization Process
Step 1. Connect your Touch Stay and Avantio accounts
First, you need to authorize your Touch Stay account with Avantio. For this, you need an API login and password, which you can request from the Avantio support team. Contact Avantio support and request your API credentials to connect with Touch Stay.
Once you have your credentials, go to the Integrations page within your Touch Stay account, access the Partners tab, and click “Connect” below the Avantio logo.
Paste your API username and password into the corresponding fields and click Save.
Step 2. Match Avantio accommodations
Once authorized, go to the Match tab to link existing Touch Stay guides with your Avantio accommodations.
Use the dropdown menus to select the correct Avantio accommodation for each Touch Stay guide.
When you're done, click “Match Selected”.
If you don't have any guides to link, simply click “Skip”.
Step 3. Import Avantio units
If you have Avantio units that have not yet been linked, go to the Import tab to import them into Touch Stay. Simply check the units you want to import and click the “Import Selected” button. If you don't want to import any units, or have no pending units, click “Skip” leaving the selections blank.
Touch Stay will import the following information:
Accommodation name
Accommodation address
Accommodation location
Each imported accommodation will create a new guide in Touch Stay.
Step 4. Complete guide creation (only for new Touch Stay customers)
Linking or importing accommodations will not automatically start the synchronization of bookings from Avantio, so now is the time to review your guide content and ensure they are ready before syncing bookings.
If you're new to Touch Stay, visit the Getting Started page for tips and advice on how to quickly create your welcome book content.
Step 5. Customization setup
You can connect the custom fields created in Touch Stay with additional fields through the integration. This will allow the values or data from those fields defined in Avantio to be automatically transferred to Touch Stay and used in your Memo message templates and guide content.
The available fields are as follows:
Check-in time (data type: Text)
Check-out time (data type: Text)
Booking code (data type: Number)
Guest first name
Guest last name
Arrival date
Departure date
Guest phone number *
Guest email address *
*Some OTAs and booking platforms do not always provide the guest's phone number or email, so the availability of these two data points will depend on the platform used by the guest to make the booking.
To connect any of these fields to Touch Stay, go to the "Custom data mapping" tab on the Integrations page and click the “Add new mapping” button.
From this section, you can select the Avantio field you want to connect, choose a name for your custom field code, and define a substitute value if desired. Substitute values are used in case data is missing when using the field code. Refer to the field code documentation for more details.
Once the custom fields have been created, any future booking synchronized from Avantio will have the corresponding data automatically filled in the invitation record.
That data will appear in your Memo messages (if you use them) or in the guide content where you have inserted the custom field code.
Step 6. Options for sharing the guide
There are two main ways to send your guide link to guests:
You can send the guide link via email or text message to guests using Memo, the Touch Stay messaging tool.
Bookings imported from Avantio will follow the message flow you set up and the default settings defined in your templates.
Check the Memo help articles to learn how to add message templates and create a notification journey for your guests.
If you use the Avantio messaging system to communicate with guests, you can copy and paste the guide link into your Avantio message templates.
To do this, use the Quick Share link, which you can copy from the "Invite & Share" tab on the Guides page.
Step 7. Sync bookings
You can now sync bookings (and your Memo messages if you are using them) between Avantio and Touch Stay. Go to the Sync bookings tab on the Integrations page.
Here you can choose whether you want to import all your future bookings or have Touch Stay import only new bookings.
If you are new to Touch Stay, select “All bookings”.
If you were already using the Touch Stay messaging system before connecting your Avantio account, it is best to select “New bookings only” to avoid importing duplicate bookings.
Next, select the booking statuses you want to import. It can be “Confirmed” bookings, “Paid” bookings, or both.
Finally, select the guides you want to sync using the checkboxes. Use the “Select All” option at the top right of the page to select them all at once. Click “Sync selected” to complete the synchronization.
If you selected “All bookings”, then all your future-dated bookings from Avantio will be imported, and invitations will be generated, and email or SMS messages will be scheduled based on the booking details and your message templates in Touch Stay. All future bookings of Avantio units linked to Touch Stay guides with active synchronization will also be imported automatically from now on.
