Generate the occupancy report by month and accommodation (INE Portugal)

When managing accommodations in Portugal, you are legally required to report monthly to the INE (Instituto Nacional de Estatística) the data of your bookings. It may sound bureaucratic, but this report actually makes your job easier: it gathers all the occupancy information by month and property in a single document. Moreover, it's not only useful for compliance, but it also helps you get a clear view of each accommodation's performance.

What is this report?

It is a monthly report that shows, by property:

  • Country of residence of the guests.

  • Number of guests with check-in that month.

  • Number of guests who stayed overnight that month.

  • Total number of overnight stays (nights).

You can export it in PDF, Excel, or CSV, making it very practical to save, share, or directly upload to the official portal.

What data does it include?

The report organizes the information into four main columns:

  1. Country of residence of the guest

  2. Number of guests with check-in within the month (both main guests and companions with the country field completed).

  3. Number of guests who stayed overnight in the accommodation during the month.

  4. Total number of overnight stays, calculated as nights of the booking x number of occupants.

👉 Pay attention to details: if the "country" field is not completed in the guest's profile, that customer will not be counted in the report.

Available filters

Although the report was designed for customers operating in Portugal, it is available for all Avantio users. You can filter by:

  • Year

  • Month (the current month is shown by default)

  • Legal entity

  • Owner

  • Accommodation

  • Accommodation status (by default, only active properties)

  • Location (country, region, city…)

Only bookings with the status pre-booking, confirmed, or paid are considered.

Step by step to generate the report

  1. Access the reports menu in your Avantio account.

  2. Select “Occupancy by month and accommodation”.

  1. Choose the filters you need (year, month, legal entity, owner…).

  2. Click on Export.

  3. Download the file in your preferred format: PDF, Excel, or CSV.

Best practices

  • Always check that the country field is completed in your guests' profiles before exporting the report.

  • Generate the report at the beginning of each month to avoid delays in submission to the INE.

  • Keep a copy in Excel: it will be useful for your own analysis beyond legal compliance.

Common errors

  • Forgetting the country field: guests will not appear in the report and it may lead to inconsistencies in the official report.

  • Selecting a different interval than a full month: it is not possible, the system only allows filtering by full months.

  • Including inactive accommodations: remember that by default, only active ones are shown.

Quick checklist before exporting

  • Have I selected the correct month?

  • Do all guests have the country field completed?

  • Have I applied the appropriate filters (legal entity, owner, etc.)?

  • Have I saved a copy in Excel in case I need to do an internal analysis?
