Operational Checklist
What is the activation process?
To activate Swikly, please follow the steps detailed below.
Your agency will receive onboarding training from Swikly to set up the necessary parameters in your Swikly account.
From Avantio, we will activate the Swikly module upon receiving your request. We will then provide you with the necessary access data in the "Partner" tab of Swikly.
Your agency must create a "Deposit Request" template in the VRMS by adding the provided source code in the message body.
From Avantio, we provide you with this document with the source code as an example to use in different languages (if your agency wants to send the deposit request in multiple languages, you must paste the corresponding source code in each language of the template):
In the template text, there is a red field [ACCOUNT_ID_AVANTIO] that must be modified with the information provided in API keys, under the "USER" column.
The text that will appear when pasting the source code would be as follows:
The agency must create a Swikly tag in the profiles of the portals with which it wants to make the deposit request via Swikly.
The agency must create a solution in Harmony with the following parameters:
Category: Bookings - Manage pending payment bookings
When: as decided by the agency
That the payment is: as decided by the agency
Execution time: between 10 and 7 days before check-in
For portals or agents with all the following tags: Swikly
The agency must configure in the VRMS the maximum total that Swikly will insure in the extra deposit.
Once all configuration steps are completed, in the next bookings registered in your system that meet the conditions configured in Harmony, you will receive the automatic deposit request email.
You can also manually send the newly created template for previously registered bookings in case no deposit has been charged/held.
How to work with Swikly in your daily routine?
The synchronization with Swikly is automatic, meaning that once a security deposit is configured in a booking, Swikly will manage the process without the need for manual intervention, provided the prior configuration indicated on this page has been correctly completed.
This applies to bookings from all portals, except Airbnb.
Due to Airbnb's AirCover policy, bookings are currently imported without the security deposit, so it is necessary to add it manually to ensure synchronization with Swikly.
How to manually add the security deposit to a booking
Open the booking
Go to the security deposit section and click "Configure".
The deposit details will be automatically generated according to the configuration set in the extra security deposit within the property profile.
Save the changes in the booking
Special case: Airbnb bookings 🌍
Bookings from Airbnb do not include a security deposit by default.
To ensure proper management, you must manually add the security deposit to Airbnb bookings.
Once added, Swikly will be automatically notified and will synchronize the deposit with that booking.
Important Points
Avoid double charging issues ⚠️
If you have automated security deposit in Avantio Payments activated, you must deactivate it to avoid:
A double charge (one by Avantio Payments and another by Swikly).
Technical conflicts between both systems.
How to check it?
Go to Configuration → Enter Avantio Payments → Locate the option Automated Operations → Uncheck the Deposits box
