Organize Your Accommodations

Offer your travelers a clearer, more appealing search while maintaining full control over how your properties are displayed.

When managing multiple accommodations, presentation matters. It's not just about showing beautiful rooms, but also about guiding your customers to the option that best suits them. With configuration tools, you can decide which filters to use, how results are sorted, what information to highlight, and even how they are shared on social media. The result: less friction for your customers and more bookings for you.


Set up search filters

Filters are key for a traveler to quickly find what they need.

  • Main filters: select the most relevant ones (for example, number of rooms, pool, or sea views) and hide those that don't add value.

  • Distances: enable the option to show proximity to points of interest. Remember that you must first register this information in the accommodation's profile.

👉 Useful tip: less is more. Prioritize clear filters and avoid overwhelming the user with too many options.

Customize the search in the booking system

  1. General search criteria

    1. Type of default sorting - Ascending or descending

      1. Choose the type of sorting that will be applied by default to the sorting criteria of the results.

  1. New search bar fields in the booking system (not on the Home).

In a travel search bar, the strategy to optimize it involves understanding how users search and use relevant search fields to improve the user experience and increase conversions.

Set up the search bar to fit your strategy:

  1. Search by country

  2. Search by area

  3. Unify areas and provinces

  4. Search by province

  5. Search by city

  6. Search by neighborhood

  7. Search by bedroom

  8. Search by category

  9. Specify the number of accommodations by location

  10. Autosuggest - The 'autosuggest' search groups various options related to the destinations of the registered locations in your accommodations into a single filter, called [Destination]. As the user types, the system provides suggestions and results in real-time, allowing for faster and more accurate searches.

Dynamic gallery in results - Set up an image gallery in the results shown in the search list.

Customization of the accommodation profile

  1. Availability period in the calendar - Choose the availability period to display in the calendar, from 1 to 3 years.

  2. Show pre-bookings - Display available periods, periods blocked by bookings in 'pre-booking' status with a different color, and periods blocked by blocks, bookings in 'Confirmed' or 'Paid' status as 'Not available'.

  3. Enable split days - Present split days for check-in/check-out days both in the sidebar calendar and in the availability calendar in the profile.

  4. Enable legend - Available days, unavailable days, and days with bookings in pre-booking status (if the 'Show pre-bookings' field is marked) appear in different colors in the availability calendar, and a legend is shown to clarify what each color refers to.

Customize the results list

On the results page, you decide what and how it is displayed:

  • Number of accommodations per page.

  • Default order (price, reference, etc.).

  • Show price per person per day, or per week.

  • Option to hide accommodations without active rates (highly recommended to avoid confusion). This option can be enabled to hide accommodations that do not have assigned rates. It can act as a safeguard to prevent having an incomplete accommodation.

  • Open profiles in a new tab without losing the initial search: With this option checked, after the tourist has entered dates, the list of available houses will appear. If they click on a specific house, it will open in a new tab, without losing the initial search.

  • Show multiple thumbnail photos alongside the main one.

  • Choose the default view (grid, list, or map).

On the results page, if the filters are at the top, you now have the option to view accommodations in grid format in 3 columns (previously only possible in 4 columns). If you are interested in activating this option, please contact our Customer Service.

  • Show total published accommodations:

This configuration allows showing the total number of active accommodations on the web.

The total published accommodations correspond to the total active accommodations on the channel, regardless of whether the configuration → Do not show accommodations without rate is active.

This field can be placed at the top of the accommodations list, at the bottom of the list, or not shown.

  • Price representation in results:

For VRMS accounts with the American model, you have a field that allows you to choose whether the system should consider sales taxes in the prices shown in the booking system's search results. This option is only available for companies with the American model, meaning prices excluding VAT.


Accommodation profile

The profile is your main showcase. Here you can configure:

  • Block Order: decide what information comes first (gallery, description, services, calendar, etc.).

  • Gallery: four designs available


    Gallery V1: Square format where the photo is displayed in the center and the following ones can be seen in small size at the bottom.
    Gallery V2: Shows a central photo and one before and after it. To see more photos, click on the side arrows.
    Gallery V3: A single photo in full screen, adjusting to a panoramic format.
    Gallery V4: A composition of 4 smaller photos in a grid on the right, and a larger one on the left.

  • Video: Videos can be added as a section in the accommodation profile (instead of in the photo gallery) and you can choose the order in which it is displayed. To select this option, check the "Video in section" box and move the box to change the display order in the accommodation profile.

    The video will be displayed within the accommodation profile in a new information block.

  • Social Media: enable the option to share on Facebook, Twitter, and, from mobile, also on WhatsApp.

  • Availability in Calendar: Shows the availability of the accommodations in the calendar.

  • Image Protection: prevents downloading photos from your web.

  • Show Pre-bookings: Displays available periods, periods blocked by bookings in 'Pre-booking' status in a different color, and periods blocked by blocks, bookings in 'Confirmed' or 'Paid' status as 'Not available'.

  • Activate Split Days: Displays split days for check-in/check-out days both in the sidebar calendar and in the availability calendar in the profile.

  • Activate Legend: Available days, unavailable days, and days with bookings in pre-booking status (if the 'Show Pre-bookings' field is checked) appear in different colors in the availability calendar, and a legend is shown to clarify what each color refers to.

  • Show Exact Address: Displays the exact address of the accommodation.

  • Markers: For maps, you can choose the type of button that appears from the available designs.


Highlight Your Accommodations on the Web

Want to give prominence to certain properties? Activate the featured properties.

Benefits:

  1. Promote your most profitable accommodations or those with immediate availability.

  2. Dynamically refresh your web's homepage.

  3. If you manage multiple websites, decide what to highlight on each one.

  4. Take the traveler directly to the profile with just one click.

Step by Step:

  1. Access Web → Web Configuration → Featured properties

  2. Click on "Highlight Accommodations" and enter the name. You can add several at once.

  3. You can edit the options of the featured accommodations by simply clicking on the name of the accommodation from the list of featured accommodations, where a window with all editable features will open.

  4. Enter a title and description to capture attention with an attractive message.

  5. Arrange the order of appearance with the numbers on the left.

  6. To stop highlighting, uncheck the corresponding option.

You can control the maximum number of accommodations the widget shows on the web by setting a limit within the VRMS module.

Create Custom Categories with Tags

Tags are internal labels that allow you to group accommodations. From them, you can create categories visible on your web (example: "Mountain Houses", "Ideal for Families", "Sea View").

How to do it:

  1. In the list of accommodations, select several and assign them a tag.

If the tag has already been created previously, the system will indicate it. If the tag is newly created, it will appear in parentheses next to the chosen name (new).

The tag or tags assigned to each accommodation appear in the profile of each accommodation linked with the tag.

The tag name is for internal use and will not appear on the web

  1. Create a category in Web → Categories and decide which tags make it up.

  1. Add an image to also appear as a featured widget on your homepage.

If you do not add a photo in the Categories module, the category will only appear as a filter in the booking system menu. If a photo is added, in addition to being a filter, the widget will appear on the web:

If the widget does not appear (or appears without a photo) and you want to activate it, you can request its activation through our Customer Care team.

👉 Best practices: avoid empty categories (they will not appear on the web) and remember that if you use more than one tag in the category, the accommodations must meet all the criteria.


Publish Long-term Rentals and Properties for Sale on Your Web

Turn Your Page into a Professional Showcase

Nowadays, it's not enough to have your properties loaded in the system: you need to display them on your web in an attractive and clear way. With the Long-term Rentals and Properties for Sale modules, you can give visibility to monthly rentals and properties for sale, capture new business opportunities, and offer a better experience to your customers.


Long-term Rentals

The Long-term Rentals module is designed to showcase on your web the properties available for monthly rental.

  • Centralization of information in one place.

  • Requests from customers interested in extended stays.

How is it Displayed on Your Web?

  • You will see in the menu of your web the access to long-term rentals:

  • Keep in mind that they are always displayed on your web as monthly price. Customers cannot book directly these properties. They can only send requests, allowing you to decide whether to accept them or not.

  • Clicking on “Write your message” will open a contact form for the potential guest to add their details and be contacted by the Property Manager.


Accommodations for Sale

The Properties for Sale module allows you to showcase your real estate portfolio attractively on your web.
When managing a property agency, it's not enough to have the properties in your system: you also need to display them attractively on your website. With the Properties for Sale module, you can give more visibility to your portfolio, create photo galleries, and detail each accommodation to attract more buyers and improve your daily management.

How it Appears on Your Web

  • You will see the access to accommodations for sale in your web menu:

  • Sales advertisements are not associated with a calendar and the price configuration is specific for sale. The price is shown as a sale amount.

  • Clicking on “Write your message” will open a contact form for the potential buyer to add their details and be contacted by the Property Manager.

  1. What happens if I activate filters that have no data in my accommodations?
    There will be no results for those criteria, which can frustrate the user. It's better to uncheck them.

  2. What is the difference between tags and categories?
    Tags are internal labels that you manage; categories are what the user sees on the web, created from those tags.

  3. How do I avoid showing accommodations without a price?
    Check the option «Hide results without rates» in the search listing configuration.

  4. Can I change the gallery design once the web is published?
    Yes, just go to Web > Accommodation Listings > Gallery Type and select the design you prefer

  5. Can customers book long-term rentals directly?
    No. They can only send requests. This way, you maintain control over each request.

    With good photos, clear descriptions, and frequent updates to your inventory.
