Optimize Your Web: How to Effectively Configure the Booking System

The way guests interact with your website directly influences their experience and decision to book. Aspects like how prices are displayed, the ability to use promo codes, save favorites, or easily contact you can make a difference. Properly configuring the booking system in the VRMS not only improves usability but also builds trust and facilitates conversions.


Key definitions

  • Release: number of days that must pass between the booking date and the check-in date.

  • Breadcrumb: navigation path that shows the user their journey within the web.

  • Sidebar: sidebar of the webpage that can include buttons or contact information.

  • Footer: Footer where contact details or shortcuts can also be added.


General configuration of the booking system

To edit the booking system configuration, follow these steps:

  1. Access the VRMS.

  2. Enter the Web tab in the top menu (find all available products related to your web under this new tab: web configuration, online check-in, and guest area).

  1. Select the Web Configuration section.

  1. Click on Configuration and General Configuration.

From here you can adjust the basic parameters that affect navigation and the booking process on your web.

Release

Define how many days must pass between the booking date and the check-in date.
Example: if you set it to "1", the traveler can book today and arrive tomorrow, but not on the same day.

Transfer days

If you accept payment by transfer, set the maximum number of days to make the payment.

Helpful tip

Setting a short deadline (1–2 days) reduces the risk of unnecessary calendar blocks.

Price with decimals

Activate this option if you want prices to be displayed with decimals on your web.

Allow specifying occupant

Allows bookings to be made in someone else's name. This is especially useful if you work with agencies or intermediaries.

Allow adding favorites

When you activate this feature, guests can click the heart icon to save accommodations to their favorites list.

Allow adding promotional codes

Enable this option so travelers can apply discounts by entering a code.
To set up promotional codes:

  1. Access the VRMS.

  2. Go to the Revenue tab.

  3. Select the Promotional Codes section.

  4. Click on Create promotional code.

How accommodations are identified on the web

Decide how to display your accommodations:

  • Real name of the accommodation.

  • Name of the development or building.

  • Accommodation reference.

  • Name of the photo gallery.

Other settings

  • Search by Reference Number/Name: choose whether it appears above or below the filters.

  • Show breadcrumb: displays the navigation path.

  • Maximum in the adult and bedroom selector: limits the maximum available in the search.

  • Maximum number of featured properties: define how many you want to show on the homepage.

Analytics tools

Integrate your own Google Analytics or Google Tag Manager codes into the VRMS.
Remember that to make the most of these integrations, they must be set up beforehand.

Contact with guests

Offer more ways to communicate without losing control:

Phone bookings

When activated, contact icons will appear on the accommodation page. You can define the season, days, and hours of service.

Time zone

Set it according to your country. If it doesn't appear, contact support.

Restrict contact to office hours

If someone tries to call you outside of office hours, they will see a notice with the next available time.

Contact options on the web

  • Show contact by email and phone in the sidebar.

  • Add a WhatsApp number in the sidebar or in the footer.

  • Decide whether to show the phone number in the sidebar.

Search in the booking system

The search engine offers a smart option: the traveler enters a date range, and the system suggests different combinations of available nights, so they can choose the one that best suits their trip.

To activate this option, contact your Web Project Manager if your web project is active, or the Customer Service team if it has already ended.

Before saving your configuration, check:

  • Have I defined the number of release days?

  • Have I set the deadline for bank transfer payments?

  • Have I decided how to display the accommodations?

  • Have I added contact via WhatsApp or phone?

  • Have I activated the smart search if I want to offer more options?

  • Keep contact clear, but avoid overwhelming with too many options.

  • Use promotional codes strategically (e.g., in special campaigns).

  • Review the contact schedule at least once per season.

Is it possible to integrate Google Analytics and Google Tag Manager at the same time in the VRMS?

Yes, but to work correctly, you must integrate Google Analytics within Google Tag Manager.
