Room Names and Accommodation Types

How do I resolve the duplicate room name error?

Each room must have a unique name. If you duplicate names, the synchronization will fail and the hotel will not open on Booking.com.

  • When activating a new hotel from Channel PRO, use the available name options according to the type of accommodation.

  • If the hotel already existed, update the names from the Booking.com extranet before activating it.

  • If you have many properties in the same hotel, Booking.com can help you rename them (e.g., Luxury Apartment A, B, C).

How do I associate an existing room name from Booking.com?

When you activate an already created hotel on the portal:

  1. Select "Link establishment from Booking".

  2. Add the hotel ID in the corresponding field.

  3. In "Room", choose the one that already exists on Booking.com (it will appear with the name followed by its ID, e.g., 12345-01).
    ⚠️ Do not select a generic name without an ID, as this would create a duplicate room.

What do I do if the accommodation type is different in the VRMS and Booking.com?

The type must match in both systems. With a full connection, it syncs automatically, but with a partial connection, you will need to update it in the VRMS or the extranet. If you have active bookings, you will need to ask Booking.com to make the change manually.


Cancellation Policies

How do I change the cancellation policy?

  • Full connection: modify it in Channel PRO (general settings or accommodation profile).

  • Partial connection: you must also update it in the extranet, under Establishment → Conditions.
    Policies must always match in both systems.


Rates and Limits

What should I do if I exceed the rate limit on Booking.com?

There is a maximum of 100 rates per hotel. Keep in mind:

  1. Each discount or supplement counts as an additional line.

  2. Supplements for additional persons multiply the lines.

  3. "Non-refundable" policies duplicate the rate structure.

  4. Each room grouped under the same hotel ID adds another line.

👉 Tip: configure discounts as promotions in Channel PRO to avoid duplicating rates unnecessarily.


Bookings and Errors

I received an error email when registering a booking, what do I do?

It may be due to:

  1. Shared gallery: the booking cannot find a slot and remains in "Conflicted" status. You must manage it manually.

  2. Server response time: the booking is registered a few seconds later, without the need for action.

  3. Overbooking: if two bookings come in almost simultaneously from different channels, contact the customer and offer alternatives.

  4. Synchronization failure: check if there are alerts in Channel PRO. If there are none, contact support for review.


Payments and Commissions

If Booking.com manages payments on my behalf, how are they displayed in the VRMS?

Since January 2022, both the Booking.com commission and the payment charge (usually 1.1%) appear in the booking profile.
Both amounts are reflected in the portal's expenses section and in the custom commissions field.


Account Information

What is the Legal Entity ID and where do I find it?

The Legal Entity ID (LEID) is a unique identifier associated with your account.

  • You will find it in the Booking.com extranet by clicking on your profile picture (top right).

  • If it does not appear, contact your account manager or open a ticket in the extranet to request it.
