Phase 1: Through your Avantio website
This option means that the insurance will be offered to a customer booking on your website during the booking process. The insurance is optional for the person making the booking: the customer voluntarily decides whether or not to include the insurance in the booking.
With this option, you process the total amount of the booking through the website with the corresponding payment processing costs. You then pay the corresponding percentage of the booking to Gritchen.
Step 1: Set up the Cancellation Insurance in your VRMS account
Go to Extras.
Find Cancellation Insurance and click on this extra to set it up.
When setting up the Service Features, make sure to include the text of the checkbox in the "Overview" section in all the languages you work with. Below, you will find the versions in the 6 official languages of Avantio.
English: By clicking the box, I agree to terms and conditions of the insurance.
Spanish: Al hacer clic en la casilla, acepto los términos y condiciones del seguro.
French: En cliquant sur la case, j'accepte les termes et conditions de l'assurance.

When setting up the Service Features, make sure to include the corresponding link to the chosen insurance option in the different languages. The link allows customers to access the policy description and its terms and conditions during the booking process on the Avantio website.
To offer the insurance during the booking process, it is essential to include the policy conditions.
Gritchen is flexible, allowing you to add the terms and conditions of Warranty Pack 1 (covers only the guest) to the website, regardless of the selected Warranty Pack. Some property managers prefer to do this so that tourists do not see that they are purchasing insurance that will cover both them and the property manager, as in Warranty Packs 2 (All Europe) and 3 (Only France).

When setting the price, consider the profit margin you want to include in addition to the Gritchen premium.
In the "Amount limits per booking" field, set a maximum amount of €20,000, as this is the maximum amount covered by the cancellation insurance.
VAT does not apply to the distribution of insurance. You can set 0% in the "Applied VAT" section.
When setting the payment timing for the service, choose "When booking".
Step 2: The booking on your Avantio website
Once your Cancellation Insurance extra is set up in the VRMS, it will appear during the booking process as an optional extra service.

After clicking BOOK, the tourist can choose optional services, including the Cancellation Insurance. The Cancellation Insurance is calculated automatically. The insurance amount corresponds to the percentage entered in the previous Step 1: Set up the Cancellation Insurance in your VRMS account.
Please note that by clicking on the information icon following the word "Insurance," a pop-up window will appear where the traveler can see the "Overview" and access the link with the policy description and terms and conditions added in the previous Step 1: Set up the Cancellation Insurance in your VRMS account.
When customers click the "+INFO" button, they will be redirected to the Terms and Conditions document.
When a tourist purchases the Cancellation Insurance by adding it from the list of optional services during booking, this guest will receive an email from Gritchen with the Insurance Certificate attached. In this Insurance Certificate, the guest will have instructions on how to file a claim in case of Cancellation by the guest.
How can a tourist file a claim in case of cancellation by the guest?
The Insured will receive an insurance certificate by email with:
The URL of Declare.fr: Déclaration et gestion de vos sinistres + their login, and a flash code that comes with their login and certain pre-filled personal information about the booking.
Email address to file the claim via email.
How can an administrator file a claim in case of cancellation by the guest?
A property administrator can file a claim by sending an email to [email protected]
What is the email that Gritchen will send to guests who purchase the insurance on the property manager's website?
Phase 2: Through a personalized page dedicated to Gritchen
This is a redirection option. This means that if a tourist did not add the Cancellation Insurance as an optional service during the booking process, Gritchen, extracting the bookings from Avantio, would redirect to those bookings (contacting the booking author), offering the insurance through a page specifically dedicated to it. The landing page that Gritchen sends to the booking author is already filled with the available information obtained from the booking. The insurance is optional for the customer: the customer voluntarily decides whether to purchase it through a direct payment to Gritchen.
With this option, Gritchen processes the insurance amount through its particular website with the corresponding payment processing costs. Subsequently, Gritchen will pay you the corresponding profit margin as the Property Manager.
The profit margin must be agreed upon in advance and reflected in the affiliation contract.
What is the email that Gritchen will send to customers for a retargeting/redirection activity to convince them to purchase the insurance?

Points to consider
Guests can come from anywhere in the world for any accommodation in Europe.
The payment of the premium is mandatory in case of insurance invalidity or warranty denial.
The communication of the necessary documents in case of a claim is mandatory to obtain compensation.
The validity duration of all warranties corresponds to the travel dates indicated on the invoice issued by the Property Manager with a maximum duration of 90 consecutive days.
The deductible indicated in the contract may be borne by the insured.
The cancellation of the booking takes effect on the subscription day and expires on the day of departure. Other insurance warranties and assistance services take effect on the departure day and expire on the return day of the trip.
The customer can withdraw within 14 days of contracting.
In this case, the property manager only needs to write an email to
[email protected] and Gritchen will cancel the policy and refund the money immediately.
Please note that the following situations are not covered by the contract:
Illness requiring mental or psychotherapeutic treatment,
Complications due to pregnancy occurring after the 6th month,
Already diagnosed illness or accident,
Consequences of strikes.
